Forms for Homeowners and their Tenants

Please contact the management company for Homeowner/Tenant, Emergency Contact, Bike Registration, Contractor Access, Parking, and Pet Forms.  (Please note that no dog may be brought onto the property without first receiving formal board approval.)

Unit owners/owner agents who are landlords must submit completed leases and forms, vehicle registration information, and fees for their tenants. Tenants may not submit the forms or the fees directly to the management company. Leases should include a provision that the tenant has received a copy of the Association’s rules and regulations and agrees to abide by them.

Laundry

Each building has a shared laundry room. Access laundry facilities with the related building key.  Laundry room doors should be closed and locked at all times.

Pay for laundry using MasterCard or Visa, or download the ESD CyclePay mobile app via the AppStore or Googleplay to set up an account to pay and check washer and dryer availability.

​Re:  Sanitary Precautions:

- Use bleach whenever possible based on your clothing and care labels.
- Recommended use of an extra rinse cycles to maximize each cleaning cycle.
- Do not overload the machines.
​- Dry appropriate fabrics completely.
- Do not shake laundry to minimize possibility of germs dispersing through the air.
- Clean and disinfect baskets, hampers, and carts.
- Wash hands vigorously for 20 seconds using CDC guidelines before and after using the laundry facility, and after coughing, sneezing, using a tissue, or touching your face. 

Pest Treatment

As part of our common area treatment contract, our new pest company, Owl Pest Prevention, has offered complimentary treatment for up to seven units per month on a first-come, first-served basis. Contact AMV to set up an appointment, if needed.  

Unit owners are responsible for any separate and/or additional treatments, and for maintaining their units in such a way that does not invite pest activity. This includes, but is not limited to, sealing off probable entry points inside their units (gaps around doors, pipes, baseboards, etc.) and keeping food, water, and refuse in containers that are inaccessible to potential rodents or pests.

To request access, unit owners/owner agents please contact AMV with a minimum of two regular BUSINESS days' notice to inquire about date and time availability.  Requests after business hours will not be received until the following business day.  A Contractor/Access Form will also need to be completed; tenants may not complete the form.

If you do not receive confirmation of your request, please telephone AMV during business hours to
ensure the Contractor/Access Form has been received, and that the requested date and time is ABLE to be scheduled.)

Access hours are currently 9am-4pm  Monday-Friday and 
exclude weekends and holidays.  Access will not be granted without appropriate approval.  The Association does not have on-site management, so planning ahead is needed. Supervision has become required to protect owners and the Association from the unnecessary costs associated with unmonitored contractors/vendors. Owners would be personally responsible to pay for any damage to the Common Areas incurred by their contractors/vendors.

Note that access to the roof is weather-dependent, and that not all HVAC work requires roof access.

Trash and Recycling Information

Trash is picked up Monday, Wednesday, and Friday. Please bag and secure household refuse before placing inside the dumpsters, and try to deposit it near the back part to fit in more trash. Bulk-pickup is on Wednesday.  Please wait until later Tuesday evening or early Wednesday morning to put out furniture/bulk items (NO APPLIANCES, RENOVATION/CONSTRUCTION MATERIALS, OR HAZARDOUS MATERIALS), and do not block access to the dumpsters or recycling bins. Regular pickup cannot occur if the dumpsters or recycling bins are inaccessible.

Dumpsters and recycling bins are for residential use only. Contractors must appropriately remove their own trash and debris when renovating or repairing units. Dumpsters, recycling bins, and bulk pickup MAY NOT be used for renovation/construction-type refuse, electronics, or appliances. 


Arbors has single-stream recycling. That means that you don't have to separate accepted recycling items. Just put them all in the bins, preferably loose, or in paper bags only. Please do not put recycling items in plastic bags. Please do not throw regular trash in the recycling bins! Recycling bins located by the mailboxes are only for junk mail. Arlington County can fine us if the wrong items are placed in the recycling bins. Click on these links to see what and how to recycle, and what to throw away:

Arlington also has two designated recycling drop-off locations — at Quincy Park (N. Quincy Street and Washington Blvd) or the Arlington Trades Center (2700 S. Taylor Street).

Corrugated cardboard, which is the kind of cardboard that has layers to it--like moving boxes, and boxes that are sturdy, must be BROKEN DOWN FLAT. Usually, there's enough room to slide them in between the bins, once they are broken down. Better yet, cut them up to put in recycling bins, so they don't blow around the parking lots.

If you want to give items away, a Goodwill is conveniently located across the street on Glebe Rd. There are also organizations that pick up donated items.  Please avoid leaving usable items by the dumpsters to help reduce landfill waste.  http://www.charitychoices.com/whoaccepts.a

PETS AT THE ARBORS OF ARLINGTON

If you are interested in having a pet at the Arbors, you must follow the Association's policies (and tenants must also abide by any and all policies set forth in their lease).  One cat or one bird is permitted per unit.  Dogs are not permitted on the property without formal written approval from the Board of Directors.

Please note that unit owners/residents/tenants and guests MUST have prior Board approval for any dog to visit or reside at the Arbors.  This means unit owners/owner agents must first submit the approved application AND receive formal, written permission from the Arbors Board of Directors before​ bringing any dog onto the property.  Submission of an application does not guarantee approval.

MOVING INTO OR OUT OF THE ARBORS

Moving Hours
Moves may take place as follows:
Monday–Friday: between 8 a.m. and 7 p.m. only
Saturday–Sunday: between 10 a.m. and 6 p.m. only

"Each resident is responsible for the proper removal of trash, debris, crating or boxes relating to that resident's move-in or move-out.”—Rules and Regulations, Section 2.10 Moving

PLEASE BE ESPECIALLY MINDFUL OF OUR CARPET, DOORS AND WALLS, AND USE THE BACK STAIRS WHEN TRANSPORTING BULK ITEMS AND CONSTRUCTION-RELATED DEBRIS AND MATERIALS.  PLEASE DO NOT BLOCK OPEN THE DOORS AS THIS CAN DAMAGE THE DOOR AND AUTOMATIC CLOSER.

-Forms for new residents may be obtained from the management company.

-Up to two bike room keys per unit are available with a deposit; building keys are available for a replacement fee.

-Entry system details are located below in Entry System section.

-Unit owners are responsible for their own mailbox keys and lock repair/replacement.

-One parking permit per unit is available for approved vehicles.  
Additional resident vehicles must park on the street.  Residents may not park in visitor spots.  Visitor vehicles may park in any of the designated five short-term visitor spots at the rear of the big lot.  Visitor parking is first-come, first-served.

-Pets are limited to one cat or bird per unit.  Dogs are not automatically permitted. Any application for a single dog must first be formally approved by the Board of Directors before a dog may be brought onto the property. Submission of an application does not guarantee approval for a dog to reside or visit.  

Move-In/Move-Out Fee
Per Amendment to section 2, effective January 1, 2021:

A nonrefundable move-in/move-out fee of $200 is levied by AOA on all persons moving into the community. This fee is due from the unit owner upon signing a rental lease or upon settlement of the resale of a unit. This fee is intended to defray costs the Association assumes during resident turnover periods, such as administrative costs, and increased wear and tear on the common elements.


Email Notices
There are two ways to sign up for email notices. Owners and other residents can sign up for periodic notices via the Mailing List subscribe box and button found on our homepage:  arborsofarlington.com

Unit owners only may also sign up for notices from our property management company, AMV, using information provided on monthly mailed statements. Landlords/owner agents are responsible to inform their tenants with any relevant information. Please contact AMV for further information on this process.

Please note that on occasion certain notices may be sent by regular or certified US MAIL.

Window Replacement and Construction Information

Permission is required to replace windows at the Arbors to avoid some of the common installation pitfalls and to ensure quality of materials, as well as aesthetic conformity. Following is some information about procedures to follow with the Association and technical details to pass on to your contractor. Please note that construction work, hammering, or other noise-producing activities are limited to the hours of 9am-9pm.

Permission is also required when making structural changes to a unit, and/or where common area elements (pipes, walls, etc.) and/or limited common elements may be involved.  Doors and door hardware must conform to accepted standard for resident unit doors (matched door and paint; and substantially similar gold/polished brass color and type of lock/doorknob/door knocker/peephole for exterior side.)

To submit a proposal for window replacement in your unit, please fill out the application and submit it to the the management company. Please inquire with the management company about accepted sealant materials:  BASF MasterSeal NP 150.  Please allow for up to 45 days for a decision after confirming that complete information has been received.

Entry System

Here's how you use it:
Visitors can dial your unit number on the keypad and it will call your telephone or cell phone (local numbers only). You are allowed one minute of conversation to determine if you want to unlock the front door for that person. To let your visitor into the building, press "9" on your telephone, at which time the call will end and the door will be unlocked for five seconds. Please note that your keypad on your phone must be able to produce a single, extended beep for the entry system to recognize the sound.

Stop Your Door From Squeaking

It's easy to stop that annoying squeak on most of Arbors doors. Our handyman discovered the secret and treated every stairwell door. You can fix your door by following these simple steps.

This method only works on certain hinges. First, use appropriate safety and protection equipment, such as work gloves and goggles, or get a licensed professional to help you out, if needed. Protect the area with a suitable covering. Next, pop off the cap on the top of the hinge using a sharp regular screwdriver. The cap is probably caked with paint. The bottom edge of the cap is about 1/8 inch down. Place the screw driver and give it a solid whack with a rubber mallet and the cap should pop right off. Squirt some household oil (motor oil will work) in the hinge then open and close the door and add more oil until the squeaking stops. A paper towel may be needed if oil drips out of the bottom of the hinge. Place the cap back on and lightly tap it into place. Repeat on the other hinges.

If you hear any common area doors squeaking, let us know.
